PRIVACY PROTECTION IN SHORT

From May 25 2018, the uniform provisions of the EU General Data Protection Regulation (GDPR) will apply throughout Europe. In the following data protection information we inform you about the processing of personal data by VH in accordance with the GDPR and the Federal Data Protection Act (BDSG 2018).

You can request information (art. 15 GDPR, § 34 BDSG 2018) about your personal information stored by us here or under contact@vh-berlin.org.

VH collects, uses and transfers your personal data only if permitted by law or if you consent to the collection of data.

What is personal data? (art 4.1 GDPR)

“Personal data” is defined as any information relating to an identified or identifiable natural person (hereinafter the “data subject”). A natural person is regarded as identifiable, if she can be identified directly or indirectly, in particular by association with an identifier such as a name, an identification number, location data, an online identifier or one or more special features, that are expression of the physical , physiological, genetic, mental, economic, cultural or social identity of this natural person; examples are name, place of residence, tax number and religious affiliation.

What does VH-Berlin.org and offline use and process my personal data for?
We collect and process data exclusively earmarked, e.g. for the provision of products & services, for the fulfillment of legal requirements, as well as for statutory association tasks (information and applied research of yeast technology.)

What is the legal basis for the collection of data by VH e.V.?
Legal bases are consents (article 6.1 a GDPR), such as in contracts, performance of contracts (article 6 .1 b GDPR), as in service and membership contracts and legitimate interest (Article 6.1 f GDPR.) This includes, among others the operation as an independent test laboratory, the organization of the VH annual conference, ring tests, function as an information center and the implementation of projects.

If the processing is based on an effective consent, the right to revoke the consent at any time without affecting the lawfulness of the processing on the basis of the consent until the revocation is granted.

How long is data stored / stored?
The data processing takes place until the contractually agreed purpose is reached, as long as a contractual relationship exists. Thereafter, data is processed according to the legal retention period or legitimate interest. After that the personal data gets deleted.
Examples of retention periods: Customer documents and test reports become 15 years, delivery notes 6 years, forms 2 years, records of education of the employees: stored indefinitely.

What rights do I have regarding my personal information?

• right of information (art.15 GDPR)
• right of objection (art. 21 GDPR)
• right to cancellation (art. 17 GDPR)
• right to restriction of processing (blocking) (art.18 GDPR)
• right to correct the data (art.16 GDPR)
• right to complain to a supervisory authority
• right to data transfer (art. 20 GDPR)

If your request for deletion does not conflict with a statutory duty to store data, we will do so within two weeks.

Who is responsible for privacy at VH Berlin?

Technical aspects

What data do we collect on vh-berlin.org?

The page provider of VH collects data about accesses to the site and stores them as “server log files”.
The following data is logged:

– Visited website
– Time at the time of access
– Amount of data sent in bytes
– Source / reference from which you came to the page
– Browser used
– Operating system used
– IP address used

These are default presets. The data collected are for statistical purposes only and to improve the website. However, the VH reserves the right to retrospectively check the server logfiles should concrete evidence point to unlawful use.

The data is stored on a German server according to German data protection law. No transfer to third countries takes place.

There is a data processing agreement between VH-Berlin and the VH website provider.

WordPress plugins with processing of personal data

Ninja Forms
Registered form data is sent by e-mail, and stored on our local e-mail server. The data will not be transmitted to third parties.

UpDraft Plus
UpdraftPlus stores backups on our server. No personal data will be forwarded to third countries.

Wordfence
For the defense and documentation (unwanted) access the VH Berlin e.V. uses the WordPress plugin Wordfence. It contains a Life Traffic feature, which documents:
• Visited website
• Time at the time of access
• Used IP address
• Location from which it is accessed
• host name

This is for information only about unauthorized access.
Wordfence has applied for inclusion in the Privacy Shield.
The EU-US Privacy Shield is an informal agreement in the field of data protection law, which was negotiated between 2015 and 2016 between the European Union and the United States of America.

There is a data processing agreement between VH-Berlin and the Wordfence operator Defiant.

How else is VH-Berlin.org collecting data?

Contact form
Data, manually entered via the contact form, such as name and contact details, as well as the IP address, are transmitted to us and stored on the mail server.

Register form

Via the register form we collectname, company name, Email and telephone number to be able to organize and contact participants of the annual yeast conference and seminar.

Cookies
Cookies are small text files stored on your device. Your browser accesses these files. The use of cookies increases the user-friendliness and security of our website.
Popular browsers offer the preference option of not allowing cookies. Note: There is no guarantee that you will be able to access all the functions of this website without restrictions if you make the appropriate settings. Our cookies are set in the context of WordPress and have the following functions: recognition of the user’s native language, human verification, session ID of the current session to receive or set, and customize the view of the page on the screen to the user. As a rule, a cookie is valid for the duration of a session (session cookies).

Is the transfer on the website safe?
The security of your personal data is ensured by SSL encryption.

Does VH-Berlin.org use social plugins?
VH-Berlin.org uses social plugins from Facebook, Twitter, Xing, LinkedIn via shariff buttons. A shariff button does not establish direct contact between the social network and visitors until the page visitor actively clicks on the share button.
